The information below outlines the steps necessary to export a custom label file, modify the file format and label contents, and then import the file to BusinessDirect eBill.
1. Navigate to the Custom Labels screen by opening the Functions menu and then selecting the relevant option under the Custom Labels heading.
2. Click Export. A confirmation message is displayed, with a message informing you that your request has been submitted successfully and that an email message will be sent to you when the bill is available.
3. Click OK.
4. Retrieve the Custom Label Download file from BusinessDirect eBill by choosing View Bill>Retrieve Download.
5. Click the link under the File Name column to save the file to your computer.
6. Launch Microsoft Office Excel.
7. In Excel choose File>Open.
8. Change the Excel Files of Type dropdown to Text Files.
9. Locate the Custom Label file you saved to your computer, highlight it and click Open.
Note: This will launch the Text Import Wizard.
10. On Step 1 of 3 of the Text Import Wizard make sure Delimited is checked.
11. Click the Next button.
12. On Step 2 of 3 of the Text Import Wizard enter the Pipe "|" character in the box following the word Other. (The Pipe "|" character is on the key above the Enter Key where the backslash is located.)
13. Click the Next button.
14. On Step 3 of 3 of the Text Import Wizard highlight one column at a time in the Data Preview section and click the Text radio button until each column says Text in the header row.
15. Click the Finish button.
16. Make any desired Custom Label changes.
Notes:
· Do not update any cell that displays a slash "/" character. The slash "/" character indicates the description above it is repeated.
· Do not add or remove any columns. This may cause the format to be rejected by the system when you attempt to import the file.
· Do not add any rows to the custom label file; however, it is only necessary to import rows that contain a custom label update. The import file may process more quickly if you only import rows that contain a custom label update. All rows that do not contain an update can be removed before importing the file.
17. Click Save As.
18. Choose CSV (Comma delimited).
1. Navigate to the Custom Labels screen by opening the Functions menu and then selecting the relevant option under the Custom Labels heading.
2. Click Import.
3. Browse to the .csv file you saved on your computer, highlight it and click Open.
4. Click Import. The Import Labels page is displayed on top of the Custom Labels page.
5. If you want to automatically close the Import Labels page after you import the file, mark the Close this window when import complete checkbox.
6. Click Browse.
7. Browse to the file location on your hard drive and select the file. The file name is inserted in the Browse field on the Import Labels page.
8. Click Import. An email is sent to you after the import is complete.
If you plan to update a custom label to include a comma (,) within the label, it is necessary to import the file as a Pipe “|” delimited .TXT file.
